We are seeking a detail-oriented and dependable Administrative & Shipping Coordinator to join our team. This role combines administrative support, shipping and logistics coordination, customer service, and office operations. The ideal candidate is organized, comfortable working with multiple systems, and enjoys supporting both internal teams and customers.
Shipping & Logistics
• Schedule outbound freight pickups and inbound freight deliveries
• Create Bills of Lading (BOLs) and shipping labels
• Email shipping documentation to customers and carriers
• Obtain freight quotes and secure the most cost-effective shipping options
• Process retail, intercompany, export, and dealer shipments while ensuring proper documentation and compliance
Administrative & Customer Support
• Create and process customer invoices in iTrack
• Email customer invoice copies daily
• Answer incoming phone calls and assist customers and vendors
• Process credit card transactions
• Support intercompany sales transactions
• Maintain organized filing systems and records
• Handle incoming and outgoing mail
• Shred documents and manage file retention projects
• Assist with general office duties as needed
Team Support
• Cross-train to provide backup support for Accounts Payable, Freight, and other administrative functions
• Collaborate with team members to ensure smooth office operations
• Assist walk-in customers and vendors professionally and courteously
Qualifications
• Previous administrative, office, shipping, logistics, or customer service experience preferred
• Strong computer skills, including Microsoft Excel, Word, and Teams
• Experience with ERP systems such as iTrack is a plus
• Excellent organizational and multitasking abilities
• Strong communication and customer service skills
• Ability to work independently and as part of a team
• High attention to detail and accuracy
Education & Experience
• High School Diploma/GED equivalent.
• 1+ years of related experience required
Knowledge/Skills/Abilities
• Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. • • Ability to compute rates, ratios, and percentages and to draw and interpret graphs.
• Frequent use of Outlook, Word, Excel, graphics, etc. Ability to create, maintain and incorporate functions into Word documents, • Excel spreadsheets, databases, and Powerpoint presentations to support business objectives.
• Regularly uses moderately complex oral and written skills. May train others in functional areas, interact with others and make presentations to department or middle management.
• Problems encountered are routine, somewhat repetitive and generally solved by following clear directions and procedures.
• Decisions generally affect own job or assigned functional area.
• Results are defined; sets personal own goals and determines how to achieve results with few or no guidelines to follow; supervisor/manager provides broad guidance and overall direction.

Essential Physical Demands/Work Environment
• Work is primarily sedentary: must be able to sit for extended periods of time and use a computer, keyboard, and mouse, frequently.
• Travel may be required periodically, including overnight stays (contingent on position requirements).
• Must be able to lift up to 25 pounds.
